Practical security for important business records. SharpFleet brings Fleet, GPS, Jobs, Quotes, uploaded files, receipts, customer requests, and reporting into one platform. Security and privacy are part of how those features are designed and operated.
SharpFleet is a connected operations platform for businesses that manage fleet, jobs, quotes, field work, deliveries, equipment, and compliance records.
It helps global teams track trips, bookings, deliveries, receipts, equipment usage, and optional admin-controlled phone GPS where enabled.
This public page explains SharpFleet's practical security and trust approach without publishing sensitive implementation details.
We believe in being clear about how we approach security without publishing sensitive infrastructure details that could increase risk. This page explains the practical steps behind SharpFleet in plain English.
Built with practical security in mind
SharpFleet is operated by SharpLync Pty Ltd, an IT services business with real-world experience supporting systems, users, infrastructure, backups, endpoint security, and business technology.
Security is not treated as a checkbox or something added later. It is part of how SharpFleet is built, maintained, and improved over time.
Secure hosting and encrypted access
SharpFleet uses managed cloud hosting and encrypted connections to help protect access to the platform. Customer, mobile, customer portal, and administrative access is provided over secure web connections.
Administrative access is restricted and managed carefully. For security reasons, we do not publish detailed infrastructure diagrams, server names, firewall rules, or internal access paths on this public website.
Account security and access control
SharpFleet is designed around organisation-scoped and role-based access. Company administrators, managers, booking users, drivers, technicians, customer portal users, and platform administrators have different responsibilities and access levels.
Two-factor authentication is available for SharpFleet accounts, and organisations can require it for relevant users. Security, authentication, billing, and important Jobs actions may also be recorded in audit or operational logs to support accountability and troubleshooting.
Fleet, Jobs and customer data
SharpFleet stores business records needed to provide the service. This may include information such as:
- vehicles and equipment
- driver and user records
- trip, booking, delivery, GPS, and operational records where used
- odometer or hour readings
- fuel, service, maintenance, toll, or cost records where used
- jobs, quotes, work entries, customer and site records
- receipt images, documents, photos, signatures, and inbound job emails
- reports and related business information
SharpFleet does not sell customer data. It is built for business recordkeeping, fleet administration, reporting, and operational visibility, not as hidden employee surveillance software.
Private files and Australian-hosted storage
Uploaded files and private job-related files may be stored using Wasabi's Australian region or another reputable Australian-hosted storage provider selected by SharpLync Pty Ltd. File-library records and new Jobs uploads are private by default and are delivered through authorised SharpFleet access rather than exposed as public file links.
Storage and infrastructure providers may change over time. Where SharpLync Pty Ltd states that Australian-hosted storage applies, reasonable steps are taken to maintain that hosting approach and protect customer data.
Responsible AI and OCR use
Where enabled, SharpFleet may use AI, OCR, or automated assistance for reports, vehicle details, inbound job emails, receipt extraction, Job Management assistance, classifications, summaries, cost estimates, and billing-related suggestions.
Relevant information may be securely transmitted to configured Australian-hosted AI, OCR, email-processing, or cloud services, including Azure AI services where configured. AI-assisted results must be reviewed by an authorised user. They do not automatically create, approve, or determine invoices, quotes, charges, payroll, tax treatment, compliance treatment, or customer billing.
GPS and device data
GPS is optional and must be enabled for the relevant vehicle or workflow. Phone-based GPS records are associated with active trips where that feature is used. Direct GPS device ingest uses authenticated requests, source validation, payload validation, and device assignment controls.
We do not publish ingest tokens, device allowlists, internal endpoints, network rules, or other sensitive GPS configuration details.
Payments and subscription data
SharpFleet uses Stripe and other reputable providers where applicable for subscription and payment processing. Full payment card numbers are handled by the payment provider and are not stored on SharpFleet servers.
Subscription changes, Jobs billing, GPS billing, and payment status updates are restricted to authorised roles and may be recorded for audit and support purposes.
Backups and recovery
SharpFleet uses automated backup processes to support recovery if something goes wrong. Backups are part of the wider operational approach, along with maintenance, monitoring, and controlled administrative access.
No backup process can remove every possible risk, but backups are treated as a core part of running SharpFleet responsibly.
Privacy and responsible data handling
SharpFleet aims to collect and use only the information needed to provide the service. Customer records are used to operate SharpFleet, support customers, troubleshoot issues, improve the platform, and provide requested functionality.

Public trust signals
Reputation signals are useful, but they are not security certifications.
SharpFleet maintains a public review profile on Trustpilot so customers can independently view or leave reviews.
SharpFleet has also been checked by external scam-checking or reputation-checking services and is not currently flagged as suspicious in the checks we have reviewed.

SharpFleet still relies on responsible hosting, encrypted access, access control, backups, maintenance, and ongoing review to help protect customer data.
Security without unnecessary exposure
We are transparent about how SharpFleet approaches security, but we do not publish sensitive infrastructure details that could increase security risk.
Businesses completing vendor review or IT approval can contact us for a more detailed security overview where appropriate.
Ongoing improvement
Security is not a one-time task. SharpFleet will continue to improve its security practices as the platform grows.
This includes reviewing configuration, access controls, application behaviour, backups, monitoring, and future independent testing where appropriate.
