Is SharpFleet a fleet management app or vehicle logbook app? +

SharpFleet is both. It works as a vehicle logbook app for trip and business-use records and includes fleet tools for vehicles, drivers, bookings, deliveries, fuel, servicing, compliance, reports and optional GPS. Businesses can also add SharpFleet Job Management without operating a fleet.

Who is SharpFleet for? +

SharpFleet is used by trades, construction, farming, field service, healthcare transport, maintenance teams, small business fleets, and organisations that need practical Fleet, Job Management, quote, vehicle, equipment, or customer-work records.

Is SharpFleet suitable for small fleets? +

Yes. SharpFleet is designed for small and growing teams. A business can start with Fleet, Job Management, or both, then add bookings, deliveries, compliance, reports, branches, and GPS when needed.

Can individuals use SharpFleet? +

Yes. SharpFleet is not limited to companies. Individuals can use it for private vehicles, boats, Jet Skis, machinery, or equipment where usage records matter.

What is included in SharpFleet? +

SharpFleet Fleet includes trips, vehicles, machinery, bookings, deliveries, fuel, tolls, reminders, compliance, reports, branches, mobile access, and offline support. GPS is an optional vehicle-level add-on. SharpFleet Job Management is a separate optional subscription for requests, quotes, scheduling, field work, billing review, and job reporting.

Does SharpFleet support electronic logbooks? +

Can SharpFleet track mileage and kilometres? +

Yes. SharpFleet supports both kilometres and miles. AU, NZ, South Africa, and other metric regions can use kilometres, while US and UK contexts can use mileage.

Does SharpFleet support odometer and hour-based tracking? +

Yes. SharpFleet supports distance-based records and hour-based records, so it can be used for standard vehicles, machinery, plant, equipment, and other assets where hours matter.

Does SharpFleet support machinery and equipment that uses hours instead of kilometres or miles? +

Yes. SharpFleet supports hour-based records for machinery, plant, equipment, farm vehicles, and other assets where engine hours or usage hours matter more than odometer readings.

What happens if a driver forgets to log a trip? +

Trips can be added or corrected when something is missed. SharpFleet is designed for real-world use, with user-linked activity and company-controlled rules to keep records practical and reliable.

Can SharpFleet help reduce paperwork? +

Yes. SharpFleet is designed to reduce paper logbooks, manual spreadsheets, scattered receipts, and disconnected vehicle records by keeping trips, deliveries, fuel, tolls, servicing, compliance, and reports in one system.

Do drivers need to download an app? +

No. SharpFleet uses a Progressive Web App. Drivers open SharpFleet in the browser and can add it to the phone home screen for an app-like experience without an App Store or Play Store download.

Does SharpFleet work on iPhone and Android? +

Yes. SharpFleet works on iPhone and Android through the mobile browser and Progressive Web App experience.

Can drivers use their own phones? +

Yes. Drivers can use SharpFleet on their own phones if the business allows that workflow. No special device is required.

Does SharpFleet work offline? +

Yes. SharpFleet is designed for poor signal areas. Trips, delivery actions, and some vehicle records can be captured offline and synced when connection returns.

What happens if there is no internet for a whole day? +

Drivers can keep working offline and sync activity when internet access returns. This is useful for rural work, regional sites, farms, and areas with unreliable mobile coverage.

Is SharpFleet hard for drivers to use? +

No. The driver workflow is designed to be quick on a phone. Drivers can start and end trips, capture readings, complete deliveries, record fuel, and report faults without heavy training.

Does SharpFleet include GPS tracking? +

SharpFleet supports optional GPS for selected vehicles. Phone-based GPS is supported, and compatible direct GPS devices can also be configured where required. GPS is not required for normal Fleet or Jobs use.

Is GPS included or optional? +

GPS is optional and billed only for GPS-enabled active vehicles. It is separate from the Fleet subscription and the optional Job Management subscription.

Can GPS be turned off if we do not need it? +

Yes. GPS is optional and can be left disabled. SharpFleet can still be used for logbooks, trips, deliveries, fuel, servicing, compliance, and reporting without GPS.

Can GPS be enabled only for selected vehicles? +

Yes. Admins can enable GPS only for the vehicles that need it, rather than forcing GPS across the entire fleet.

Can admins enforce GPS use? +

Yes, where the business chooses to use GPS. Admins can control whether GPS is available and whether the driver workflow should enforce GPS use for selected GPS vehicles.

Does SharpFleet require GPS hardware? +

No hardware is required to use SharpFleet. Phone-based GPS is supported, while compatible direct GPS devices can be configured for businesses that want dedicated vehicle tracking.

Is SharpFleet used for intrusive workforce monitoring? +

No. SharpFleet is designed around operational visibility and recordkeeping, not intrusive workforce monitoring. GPS is optional, phone-based, and controlled by company settings.

Can admins view GPS trip maps and routes? +

Yes. When GPS is enabled, admins can review GPS-enabled trips and map activity from the admin portal.

Does SharpFleet work for trucks, machinery, and equipment? +

Yes. SharpFleet can be used for cars, utes, vans, trucks, tractors, excavators, forklifts, ride-on mowers, boats, Jet Skis, plant, machinery, and other assets where distance, hours, bookings, or usage records matter.

Can SharpFleet handle shared vehicles? +

Yes. SharpFleet supports shared vehicles and pool vehicles used by multiple drivers, with records linked to the driver and vehicle involved.

Can vehicles be marked unavailable or out of service? +

Yes. Vehicles can be marked out of service when they are unavailable, such as during servicing or repairs, so they are kept out of normal trip and booking use.

Does SharpFleet include bookings? +

Yes. SharpFleet includes bookings so teams can reserve vehicles or equipment, reduce double-booking, and see who needs which asset and when.

Can managers or branches have their own vehicles? +

Yes. SharpFleet supports branches and role-based access, so managers and branch users can work with the vehicles and records relevant to them.

Does SharpFleet support delivery runs? +

Yes. SharpFleet supports single deliveries and multi-stop delivery runs, so one driver can complete several customer or site stops in one outing.

Can SharpFleet capture Proof of Delivery? +

Yes. Drivers can capture delivery photos, signatures, notes, timestamps, and other delivery details from the mobile workflow when required.

Can deliveries be linked to bookings and trips? +

Yes. Delivery runs can be linked to a vehicle booking and driver trip while keeping each stop visible with its own address, status, notes, photo, and signature details.

Can SharpFleet help when a customer disputes a job or delivery? +

Yes. SharpFleet keeps clearer records around trips, deliveries, timestamps, photos, signatures, and who recorded what, which can help answer customer questions or resolve disputes.

What is SharpFleet Job Management? +

SharpFleet Job Management is an optional product for managing customer requests, draft jobs, quotes and revisions, scheduling, technicians, field updates, photos, receipts, costing, billing review, invoicing handoff, customer portal access, and job reports.

Can we use SharpFleet Job Management without Fleet or any vehicles? +

Yes. A business can subscribe to Job Management without using Fleet and without adding a vehicle. When Fleet and Job Management are both enabled, they remain connected inside the same SharpFleet organisation.

Does SharpFleet Job Management have its own trial and subscription? +

Yes. Job Management has its own 30-day trial, which can start independently from a Fleet trial. No payment details are required during the Job Management trial. If the trial ends without a subscription, existing job records remain available read-only.

How is SharpFleet Job Management priced? +

Jobs uses a flat monthly tier based on active internal users. The current tiers are AU$19.95 for 1–20 users, AU$29.95 for 21–30, AU$39.95 for 31–40, AU$49.95 for 41–50, and AU$59.95 for 51–59. Inactive and customer portal users are excluded. Larger teams should contact SharpFleet.

Can customers submit requests and approve quotes? +

Yes. Customer portal users can submit requests, upload files, review their Jobs, request quotes, accept or request changes to quotes, and see customer-visible updates without seeing internal costs or other customers.

Can technicians upload receipts from a job? +

Yes. A technician can tag a job photo as a receipt from the mobile workflow. Receipt information can be extracted with AI assistance and is flagged for authorised review during Billing, where it can be included or excluded.

Does AI automatically create invoices or approve billing? +

No. AI can assist with draft Jobs, inbound email review, receipt extraction, summaries, classifications, and suggestions. An authorised user must review and approve the result. AI does not automatically determine quotes, invoices, charges, payroll, tax, or customer billing.

Can Jobs send invoices to accounting software? +

SharpFleet can hand reviewed Jobs billing to configured Xero or QuickBooks connections, export CSV for another accounting workflow, or allow an authorised user to mark an externally handled job invoiced.

Can SharpFleet track fuel? +

Yes. Drivers can capture fuel entries and receipts from their phone. Admins can review vehicle fuel history, fuel costs, and Fuel Intelligence reporting.

What is Fuel Intelligence in SharpFleet? +

Fuel Intelligence is SharpFleet's visual fuel reporting layer. It helps admins review fuel spend, volume, burn-rate metrics, vehicle comparisons, customer allocation, filtered summaries, PDF exports, CSV exports, and shareable fuel snapshots.

Can SharpFleet import fuel-card statements? +

Yes. SharpFleet supports fuel-card imports from supported provider exports so supplier fuel purchases can be reviewed and matched back to vehicles.

Can SharpFleet track tyre records? +

Yes. SharpFleet can store tyre brand, tyre size, fitted reading, replacement provider, and tyre cost against vehicle records, helping keep tyre replacement history and cost information visible.

Can SharpFleet track toll costs? +

Yes. SharpFleet can import toll CSV files, match charges to vehicle registrations, and include tolls in vehicle cost visibility.

Does SharpFleet support servicing reminders? +

Yes. SharpFleet supports service reminders and other due-date workflows so servicing, registration, insurance, driver compliance, and vehicle compliance stay visible.

Does SharpFleet support safety checks and fault reporting? +

Does SharpFleet track AdBlue, DEF, or ARLA 32? +

Does SharpFleet support GST-inclusive vehicle cost records? +

SharpFleet supports vehicle cost records for fuel, tolls, diesel exhaust fluid, and related operating costs. Billing displays GST-inclusive values where applicable for Australian subscribers.

Can SharpFleet generate reports? +

How is SharpFleet priced? +

Fleet uses per-vehicle pricing: vehicles 1 to 10 are AU$3.50 each per month and vehicles 11+ are AU$2.50 each per month. Optional GPS is AU$2.00 per GPS-enabled active vehicle per month. Optional Jobs uses a flat monthly tier based on active internal users, starting at AU$19.95 for up to 20 users.

Are there hidden feature costs? +

SharpFleet shows Fleet, GPS, and Job Management as separate products so the applicable charge is clear before subscription. Optional GPS and Job Management are not hidden inside Fleet pricing.

Is there a long-term contract? +

No. There are no long-term contracts, and customers can cancel anytime.

Does SharpFleet offer a free trial? +

Yes. Fleet and Job Management can have independent 30-day trials. No payment details are required during a Job Management trial. GPS has no free trial and is billed when enabled. There are no lock-in contracts.

Is setup complicated? +

No. Fleet customers can start with vehicles and drivers, while Job Management customers can start with users, customers, sites, and job settings. Workflows can be refined over time.

Can SharpFleet be customised? +

Yes. Company settings control driver fields, trip rules, required information, safety checks, customer labels, workflows, branches, and other operational settings.

Is SharpFleet secure? +

SharpFleet uses managed cloud infrastructure, encrypted web access, role-based controls, two-factor authentication, backup processes, company-level data separation, private file access, and review safeguards for AI-assisted features.

Who owns the data in SharpFleet? +

Your business retains ownership and control of its data. SharpFleet provides the system used to manage and organise it.

Where is SharpFleet data stored? +

SharpFleet uses secure managed cloud infrastructure. Uploaded files may be stored using Wasabi’s Australian region or another reputable Australian-hosted storage provider selected by SharpLync Pty Ltd. Configured AI, OCR, and email-processing features may use Australian-hosted services, including Azure AI services.
